Job Purpose |
The Custodial Services Manager is responsible for planning, coordinating and directing of all daily activities related to the custodial functions of the College, including residential facilities. Duties include basic custodial operations,
purchase of supplies and equipment, budget, trash removal, training, managing three shifts, managing third party contractors and management of human resources. This manager is also required to negotiate and manage various custodial projects necessary within
the daily operation. Will be responsible to the Director of Facilities Operations and assist with various administrative and management functions. |
Minimum Requirements |
A high school diploma and six years of institutional custodial services experience, three of which must be in a supervisory or management capacity. Bachelor’s degree in business administration, management, environmental management, facilities
management or related field or equivalent experience relating to the custodial function within an educational or similar institution is preferred. |
Required Knowledge, Skills and Abilities |
| Must have the ability to effectively plan and coordinate/organize work activities, schedule assets and prioritize task completion to meet established deadlines and goals. Must have the capability to plan, coordinate, analyze, execute
and document specific administrative and management functions with a sense of the long-term goals of the department. Must be able to establish and maintain effective working relationships with diverse constituencies. Ability to effectively communicate and
interact with fellow employees, high ranking college officials, department heads, user groups, contractors, and all individuals from a variety of diverse cultural backgrounds is required. Excellent written and verbal communication and customer service skills
are required. Ability and desire to demonstrate commitment to continue developing a collaborative, engaging work environment is also required. |
Additional Comments Regarding Position |
| Must be physically able to perform duties as described and work both indoors and outdoors in all types of weather. Must be able to walk outside to and from College facilities in all types of weather, as well as, throughout large buildings
performing duties. Must be able to climb steps, bend, reach, and stoop as necessary to perform custodial duties, and when training new employees. Must be able to lift packages and equipment weighing up to 30 lbs. Some weekend and overtime work may be required
to handle special events and peak workloads. May be required to be on campus prior to and immediately following all emergencies such as hurricanes, floods, snow/ice storms, etc. Must be able to work different shifts and provide custodial oversight for special
events outside of normal business hours. Some overtime work may be required, as well as, evening/night work on an as-needed basis. |

1. Responsible for providing leadership for the development, implementation and management of Custodial Services operations. Reports to and assists the Director of Facilities Operations, and others on management team to help develop annual
goals that meet the department’s strategic goals. Manages operations for in-house Custodial Services unit(s) on two shifts, as well as, contract custodial unit on three shifts. Conducts inspections of all areas cleaned by custodial contract personnel to ensure
contract compliance. Follows up on all unsatisfactory performance to ensure correction of deficiencies. Assesses non-performance deductions as appropriate. |

2. Assists with development of yearly budgets. Identifies expense reductions, budget enhancements or one-time funding opportunities. Evaluates staffing/FTE and scheduling needs. Works closely with FM finance staff
to see how/where unit is standing on a monthly basis. Assures efficient and cost-effective utilization of staff resources. Determines and monitors resources allocations and expenditures. Develops staffing plans, identifies and implements inventory control
systems/mechanisms for work unit. Makes recommendations for hiring of temporary employees based upon the information obtained to get work completed due to staffing shortages. Manages work orders. Monitors schedule and makes adjustments as necessary to deliver
services on time; determines when additional effort is required to keep the project or services on schedule. Prepares budget estimates for special projects/work for customers. Identifies staffing and budget needs for on-going costs for new facilities or facilities
with significant space changes. Ensures recharge work and budgets are kept in line with agreements with auxiliary units. Position has a $25,000 approval limit. |

3. Compiles and evaluates benchmarking information for division. Evaluates staffing trends, needs for various program initiatives and potential future budget scenarios. Ensures progress on new strategic goal items are tracked and being
met. Participates and schedules staff for special events, emergency work requests and projects. Stays current with the professions in order to develop progressive strategic plans. Researches, develops and implements best practices and procedures for building
services and safety. Participates in benchmarking -will need to network with other universities regarding custodial levels using metrics found in APPA Staffing Manuals. |

4. Mediates, via conflict resolution and active listening skills, any employee issues. Works with subordinate manager, supervisors and frontline staff to resolve issues at the lowest possible level. This means taking the time to meet with
each individual one on one then follow up as group if needed. Conducts timely coaching sessions, performance improvement plans and Letters of Expectations for staff as needed. Recommends further corrective measures/actions to Director of Facilities Operations
as needed. Meets with customers regarding service levels, complaints, requests. |

5. Develops and ensures equipment management tracking is adequate for division. Works with IT staff to implement a barcode system to inventory and track equipment; tag equipment and design/implement equipment inventory database. Shares
processes and procedures with all Operations units to ensure consistent tracking. Develops, manages, and uses equipment inventory database to track equipment repairs/costs and equipment life cycles and to develop associated equipment renewal schedules, including
costs for budget forecasting. Liaises with equipment repair company. Works with vendors/installers on replacement of user supply dispensers and entryway matting. Divisional liaison with vendors and distributors for reviewing and testing equipment and products
and scheduling trainings and demonstrations on equipment and products. Continues to investigate, test and use “green” products. Project Support: Works with PD&C project managers via project review process to ensure CBS needs and standards
are met for all projects including renovations. This includes reviewing construction documents and providing comments and following up on comments. Attends project support team meetings, pre-bid meetings and punch list walk throughs. Works with campus scheduling
office and floor work supervisor to schedule classrooms for floor work throughout the year. |
