Job Purpose
Administrative Assistant initiates and performs a variety of complex administrative support duties for the Department of Mathematics, consisting of the Chair, Associate Chair, Director of the Math Graduate Program, Director of the Math Meet, 30+ roster faculty, and 10-20 adjunct faculty, who serve approximately 1/3 of the student body (enrollment 4,000+ each semester).
Minimum Requirements
High school diploma with at least 2 years of working experience in office or business management is required. Bachelor's degree is desired. Supervisory experience is desired. Experience working in education at the K-16 level is desired. Must be capable of being entrusted with sensitive information. Skilled at MS Word and Excel. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Exceptional organizational, written and oral communication skills. Proficient with Microsoft Office platforms (Word, Excel, Outlook). Must be capable of rapidly becoming familiar with the SunGard Banner system. Ability to adapt to current and emerging electronic technology in order to locate information, prepare and store reports, records, documents, and communicate with others, including coordinating social media. Knowledge of current office management practices and ability to use those effectively to establish office policies and procedures.
Additional Comments Regarding Position
Math office staff communicates with other campus offices regarding course scheduling, new faculty and adjunct on boarding, alumni outreach and event planning.

OFFICE MANAGEMENT:
Duties will include:
-Course scheduling support and coordination
-Supervise syllabi compliance/collection
-Supervise student registration/overrides
-Placement related advising
-Supervise assessment artifact collection (For both gen ed and program assessment)
-Coordination of math common finals
-Supervise textbook ordering with bookstore
-Manage Departmental Website
-Serve as liaison to publisher representatives
-Provide faculty visa application support
-Manage alumni affairs/support
-Manage student awards/scholarships
-Serve as event coordinator: graduation party at faculty house, pre-colloquium tea, math major recruitment events,
other events at chair's discretion.
-Supervise record keeping for compliance with tenure evaluations and
with record keeping regulations.

Coordinates the hiring, training and supervision of student workers in the performance of routine clerical and administrative duties. Reviews, evaluates and shares signature authority over all departmental student workers.

Maintains records of students in department and conducts correspondence with students, including contacting recent graduates for tenure and promotion reviews of faculty. Develops and maintains multiple databases of current students, graduates and their activities, performance and accomplishments, to assist Chair in planning and assessment. Coordinates student equipment loans, student awards and memberships, and proctoring/scheduling of exams.

Manages a highly active front desk operation for the department. Ensures desk is always staffed and top-quality service is consistently provided. Serves as the department's primary contact person for faculty, students, staff, and public. Provides answers, resolves problems, and investigates issues.

Serves as primary student services support establishing procedures for giving make-up exams; organization, equipment and furnishing of graduate student office; use of undergraduate research room and library; use of the conference room; and handling special requests from students, both undergraduate and graduate. Handles confidential correspondence. Acts as liaison with Career Services and employers seeking upcoming graduates and as a resource for students regarding jobs. Advises students on what lower level math courses to take. In the exchange programs that the Department of Mathematics participates in, serves as the departmental resource person for exchange programs, assisting our students in all aspects of their travel and study abroad and foreign exchange students travel and study at College of Charleston.
