Job Purpose

The Director of Graduate Admission Operations manages all aspects of the admission process in the Graduate School at the College of Charleston, including operational support and maintenance of the Customer Relations Management system (CRM) and the coordination of admission events and campus visits. This individual also acts as a liaison between the Graduate School and prospective students; processes online applications and supplemental materials; manages data from internal and external sources, maintains the online applicant experience, coordinates the admission review process with graduate program directors, and processes admission decisions. The Director supports graduate recruitment efforts by assisting the Director of Graduate Marketing & Communications in the technical development and maintenance of the school’s CRM solution, Target X as well as creates, updates, and manages student and organizational records for data reports.

The ideal candidate will have demonstrated technical skills, experience working with student information systems, CRM solutions, data integrity, and knowledge of graduate admissions. The candidate will possess a high degree of organization with attention to detail, and be comfortable taking initiative in approaching work in a fast-paced environment. Major responsibilities include overseeing internal application review processes, admission systems data management, managing strategic initiatives, assisting in the development/revision of admission procedures and business processes, builds and updates all Target X /CRM hosted applications and forms, and other duties as assigned. This position serves as an integral team leader in collaborating with other areas of enrollment management and throughout the institution.

Minimum Requirements

Baccalaureate degree required; master’s preferred. At least three (3) years of proven experience with an admissions information management system, with one minimum year (or one full recruitment cycle) using Target X CRM. Experience in a university admissions environment, preferably graduate education. Experience in data management and data standards is a plus. Knowledge of graduate admissions practices, processes, and procedures is highly desired. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Knowledge of graduate education admission processes, best practices, and communication flows. General knowledge of record-keeping, data processing, FERPA regulations, and computer applications used in admissions. Experience with data integration between different software platforms is a plus (Banner, Axiom, Informatica). Demonstrated ability to lead, manage, and communicate clearly, effectively, and collegially. Must be able to interact with students, faculty, the general public and administrative colleagues in a positive, constructive manner. Must be especially attentive to detail. Ability to work with Information Technology colleagues to develop solutions to IT needs. Clear operational understanding of higher education culture and excellent planning, coordinative, implementation, and organizational skills. Ability to provide leadership in advancing quality customer service. Ability to work on several projects simultaneously and collaboratively.

Additional Comments Regarding Position

May require travel to conferences and training seminars. Some weekend and evening work is required.

Directs and manages all document imaging procedures for the admissions process, including developing and monitoring protocols for electronic disposition of application files; imports data into admission systems from external sources and exports data for distribution to various divisions and departments. Supports student recruitment efforts by maintaining the integrity of data entered into the database. Assists other staff members in projects relating to the database system in which the admissions functions integrate with other functional areas. Lends technical assistance to other staff members in terms of the development of reports from the database.

Manages all developments and updates to the admissions functions of the CRM. Plans and implements notifications to the student information system to support special program initiatives, admission requirement changes, and increase processing efficiencies. Creates admission funnel reports for graduate student admission. Provides the data required to meet the needs of Graduate School Office, Graduate Program Directors, and the Office of Institutional Research by using query management tools, researching data requests to support enrollment goals and recruitment initiatives.

Serves as the main contact/liaison for prospective students, program personnel, and external constituents inquiring about admission to the Graduate School. Process applications and admission decisions via Target X for prospective graduate students to include file and transcript review, residency verification, as well as issuance of appropriate levels of communication with prospective students. Ensure accurate GPA calculations and process admit decisions to include the processing of transcripts. Provides information needed to applicants and university academic officials. Monitors the flow of data from Target X into Banner. Evaluates data on application forms and advises applicants regarding missing data or data which appears to be inaccurate. Ensures the accuracy of all international student applications and admissions processes. Notifies all applicants relating to application status. Corresponds as appropriate with newly admitted students; manages activities regarding information dissemination to newly admitted students.

Recommends and implements refinements to the Graduate School admissions procedures in consultation with graduate program directors, admission review committees, campus constituents, third-party vendors, and Graduate School Office staff. Periodically reviews and revises the application interface to improve the speed and quality of the application process. Attends professional development programs (meetings, conferences, workshops, etc.) with the goal of refining existing skills and identifying new capabilities that may improve operational efficiency and/or facilitate the achievement of enrollment goals.

Supervises graduate assistants regarding graduate admission processes to include training student workers for Banner entry of admissions documents in conjunction with the Administrative and Admissions Support Coordinator. Oversees data entry by graduate assistants for all professional development in education courses. Hold student meetings regularly to ensure students are up to date regarding entry/processing, scanning/office protocol and other graduate admissions changes, policies. Represents the Graduate School on selected committees and in meetings. Works collaboratively with the offices and personnel in other areas of Academic Planning and Enrollment Management.
